Backing up Data in Payroll

Karishma Updated by Karishma

It is advisable to regularly backup your data when making changes to your payroll, to safeguard against events like data loss, or simply to have a safe point to roll back to if you make an error in your payroll process. Payroll offers the ability to easily backup your data and store it on the server where your Payroll desktop version is hosted, as well as providing a list of your backups.

To back up your data in Payroll, click the Backup link in the left-hand navigation pane to open the Backup page. On this page, you can see a list of your current backups (should you have any), as well as a Start backup button:

Click the Start backup button to begin the process. A pop-up will appear prompting you to choose a name for your backup. As well as asking you to confirm that you are aware of the risks associated with backing up data.

Note: when performing a backup, your Payroll System will be locked, and any unsaved changes will be lost. Ensure that all other users have saved their changes before performing a backup, and do not perform any additional actions while the backup occurs.

Choose a name for your backup, tick the box confirming you are aware of the risks, and then click Run backup. If you wish to abort the process, click Cancel:

Backups are saved to your Payroll directory on your server. This location is configured as part of your Payroll setup. This can, however, be reconfigured in Payroll, by opening the Modify miscellaneous parameters tab and navigating to the Processing tab.

Backups can also be deleted by clicking on the kebab menu to the right of them (the three dots), and then selecting Delete. Only delete backups if you are sure you no longer need them (such as having a more recent backup).
