Importing Data
Updated by Karishma
Payroll includes the ability to import data into your database to easily add large amounts of changes. This can be used to achieve a variety of results:
- Add new employees
- Update existing employee information
- Add payroll information during the Run payroll process
This is achieved through the use of .csv files. Each option does something specific:
- Add new employees
This can only add new starters – existing employees cannot be updated in this screen - Update employees
This can update standard employee fields and add new starters - Import payment details
This will enable changes to standard payment fields, as well as nonstandard fields. If a standard field is updated, it will not be applied until the next payroll cycle. Nonstandard fields will be updated in the current cycle after the import is performed
You can access the import feature from the following locations:
Add employee
On the Add employee page (in Manage employees), there is a button in the top-right of the screen which you can click to Import employees:
Update employees
On the Existing employees page (in Manage employees), there is a Batch tools drop-down menu in the top-right of the page. Click the drop-down menu, and click Import employees:
Add payroll information
While Editing a payroll cycle, there is a Batch tools drop-down menu. Click the drop-down menu, and then click Import pay details:
Importing a .csv file
Each are operates in a similar manner. After clicking the Import button, a pop-up will appear asking you to choose a .csv file:
Click Select file, and your PC’s file explorer will open. Locate and choose the .csv file you wish to import. Once selected, click Import employees.
A report will then be generated by Payroll, which must be viewed. Click the View button to view it. The report will show whether the Import was a success or produced errors. If errors are produced, review them and retry the Import.
Once the report is open, you may then click the OK button to complete the import.
